Host Your Event

With multifunction facilities equipped with the latest state-of-the-art equipment, highly experienced and knowledgeable staff in the areas of event planning, operations, logistics, and audio visual production, the Graham Center at FIU creates the ideal environment to host a variety of events. From conferences, summits, lectures, interactive fairs, showcases and performances to retirements, graduations, baby showers, and weddings, the Graham Center facilities offer the flexibility to make your event a success. Our team of dedicated professionals is ready and excited to create an exceptional experience for you as the host and your guests as attendees.

Requests for event space are processed on a first-come, first-served basis and may be submitted thru the Central Reservations System.

Tips for Planning Your Event

  • Start planning your event early

    Planning is the most crucial and time-consuming aspect of organizing an event. The earlier you start, the more likely you are to secure your preferred venue and event date.

  • Choose your venue
    Check revised capacities here to determine the ideal venue for your event according to the number of guests, setup style needed, and multimedia equipment available. Maximum capacity limits are listed for each space and will be strictly adhered to, as they are set based on safety standards, fire codes, and accessibility. We provide setup and breakdown of tables, chairs, stage, and dance floor. A crew maintains the restrooms and facility throughout your event.
  • Do you need audio-visual equipment?

    If your event includes visuals, presentations, music, or ambiance lighting you will need to request audio-visual equipment and services from our team.

  • Consider your budget

    Facility rental includes: reserved space, 6 ft rectangular tables, 60” and 72” round tables, chairs, stage, dance floor, and basic AV equipment. It does NOT include linens or any additional equipment or services provided by the team.

Audio Visual Media

The Graham Center AV Department provides support in our multi-media venues and additional services necessary to meet the needs of special events. Requests services with the GC Event Planning Office at the time a space is reserved. If you are unsure of what you need, schedule a consultation with one of our AV administrators. Please contact us directly at 305-348-3187.

The AV Department typically operates Monday through Friday from 8 am to 9 pm with extended hours of service as required by events. On weekends, AV technicians are available at an hourly rate according to the duration of the event (charges will include equipment setup and breakdown time).

Catering

On-Campus and Preferred Caterers

Panthere Catering, FIU's on-campus food and beverage services provider, offers a full event planning service. For more information or to place an order, visit the Panthere Catering Office at GC 1215, or call 305-348-3072.

A list of approved and licensed, preferred caterers is also available here. If opting to bring your own caterer, liability insurance, occupational license, and worker’s compensation are required. 

Use of the ballroom kitchenette is included in the rental fee and is equipped with a walk-in cooler and icemaker. However, the use of the kitchenette is only for food preparation and warming up food. No cooking or frying is allowed on the premises.

Parking

Reserved Parking

A Metered parking lot located directly adjacent to the Graham Center (Lot #33) may be reserved with your GC event coordinator. Other nearby lots are also available, charges will apply.

A marked catering vehicle will be permitted to remain at the GC loading dock to service your event. Your GC event coordinator will assist with securing a loading/unloading permit. All other vehicles must use the student or faculty designated parking spaces with appropriate parking permits.

Fees

  • Student Organizations: up to (20) 6 ft rectangular tables, up to 10 rectangular linens, 60” or 72” round tables, chairs, stage, and dance floor are included. AV equipment provided free of charge is dependent on the current SGA Agreement.
  • Departments: up to (20) 6 ft rectangular tables, up to 10 rectangular linens, 60” or 72” round tables, chairs, stage, dance floor, and basic AV equipment. Additional charges may apply.
  • External Customers: up to (10) rectangular tables, 60” or 72” round tables, chairs, stage, and dance floor. AV equipment, personnel, and other charges may apply.

External customers are required to submit 1/3 of the total room rental within seven business days after a request for space. Otherwise, the tentative hold is released. Full payment is required 90 calendar days prior to your event date. If rehearsal time is required, it must be scheduled with your event coordinator in advance to ensure space availability. Your event coordinator will assess rehearsal needs and any additional fees.  Deposits are non-refundable. A rescheduling fee of $50.00 will be assessed when applicable.     In accordance with SGA policies, Student Government absorbs the room rental costs for student organizations with an active status in Panther Connect and whose event expenses have been approved. All other associated costs, such as cancellations, audio-visual, no-shows, etc. will be the responsibility of the student organization. Student organizations may lose privileges to reserve space if the penalty is not paid.

    Facilities are available Saturdays and Sundays only. Sunday event end time must be on or before 10:00 PM.

    Liability Insurance is required for the host and for all event vendors.

    A rescheduling fee of $50.00 will be assessed when applicable.

    Excessive clean-up fees may be applied post-event. The client will receive notification of additional fees at which point the balance must be paid.

Community Day Fair

All 2021 fair dates have been postponed until further notice.

 To participate, you must:

  • Agree to the Table Rental Guidelines and all applicable terms and conditions
  • Provide a Certificate of Liability Insurance with appropriate coverage minimums and additionally insured wording as outlined in our sample
  • Provide a copy your Business  / Occupational license
  • Federal ID Number, W-9 or Tax ID number (Corporation Only)
  • Tax Exempt form, if applicable

Our commitment to honest business dealings strives to create an advantageous relationship with the university and vendors therefore, it is the responsibility of vendors to select the best dates for their business.

Fees:
One 6' table per day is $64.20 (tax included) with payment due at least (10) business days prior to the event day. Make checks payable to FIU.

Items NOT Allowed:
You may not sell: food, beverages, clothing, shoes, video games, movies, books, vitamins, hair products, salon/barbershop services, anything typically sold in a bookstore, medications, tobacco products, make-up, diet aid products, weapons nor animals

You may not promote: credit card applications nor dating applications

You must have clear refund/return/exchange policies available for all patrons to review
